Digital Handover Explained: Keeping Building Information Live After Completion
Digital handover is about more than emailing a PDF. This guide explains what it means in practice, why traditional manuals go out of date so quickly, and how online access with revision control keeps your building information accurate for the life of the building.
What is digital handover?
Digital handover is the process of delivering a building’s operation, maintenance and safety information in a digital, organised and accessible form at the end of a construction project, and keeping it that way afterwards.
In practice, that means the building manual is available online to the people who need it, is easy to search and navigate, and is updated whenever something changes. It replaces binders on a shelf and folders of loose PDFs that nobody can find when they need them.
Why traditional O&M manuals go out of date
The day a manual is issued is the day it is most accurate. After that, things change:
- Plant and equipment are replaced or upgraded
- New test and inspection certificates are issued every year
- Layouts are altered during fit-out or refurbishment
- Maintenance contractors and suppliers change
With a printed or emailed manual, those changes rarely make it back into the document. Copies multiply, nobody knows which one is current, and the information your facilities team relies on slowly becomes unreliable.

Revision-controlled updates
When information changes, you send it to us and we update the manual. Each update is published as a new revision, numbered Rev 0, Rev 1, Rev 2 and so on, so there is a clear record of what changed and when.
This gives you one reliable version of the truth, and an audit trail that is useful when demonstrating compliance, selling or leasing the building, or handing over to a new facilities provider.
Digital handover, BIM and the golden thread
On BIM projects, the model is only one part of handover. Owners and facilities teams still need a complete, readable building manual with certificates, warranties, maintenance information and drawings, and digital handover makes that manual available alongside your other project information.
